Refer to the 2025 Operating Code for the approved Carolina Region policies and procedures. If there are any discrepancies not accounted for by in-season adjustments (i.e. for weather cancellations, etc), the 2025 Operating Code will be the final text for all policies.
The dates listed on the 2025 schedules are dates on which tournaments will be held for the 2025 Junior season. The Region will make every effort to hold a tournament for all ages and geographic area (East/West) on all listed dates. Even if an age group is currently listed as “available” or “TBD”, teams should still enter the tournament by the entry deadline. NOTE: We will make all attempts to schedule tournaments on the Saturday listed. If we do not get enough requests to host tournaments on Saturday, then we will allow tournament directors to hold a tournament on the Sunday of that same weekend. Teams already entered expecting a Saturday tournament will be given the opportunity to play in the Sunday tournament or withdraw with no penalty.
For all other information (directions, hotels, and withdrawals after Friday noon before the tournament), contact the Tournament Contact (copy the Region Office if sending an email to withdraw).
Day of Tournament Contact number (if provided) will be a cell phone, pager, or facility phone you can try the day of the tournament if you are withdrawing or running late, etc.
Entry Information (see #7 for info on Jr Hi Neighbor/Quest/Triangle Invitational/MAPL Raleigh/Carolina Kick Off/any other Special Events):
The Regular Season Junior Tournament Entry Fee will be $225 for all tournaments on our Schedule.
The East/West Championships and Regional Championships Tournament Entry fee for all Junior Ages and Divisions will be $250. Girls’ East/West & Regional Championship dates for 2025 are March 22/23 and April 5/6, 2025.
Special Events listed on our schedule in GREEN or in the Other Events Section at the bottom of the schedule will be able to set their own entry fees and collect all entries. Contact those Tournaments directly for more information on their entry procedures. Entries sent to the Region for these events will NOT be forwarded and may delay or prevent your acceptance into the tournament.
Tournament Entry process (2025 season) – NOTE: We are pleased to offer a new, simpler Tournament Entry Process this season! Please read the entire section below before going to enter tournaments your first time.
Club Directors will go to this page on the Tournament System to enter tournaments – CR Tournament entry Page
Once on page, start typing in Club name and the field will pre-populate with clubs to choose from. Choose your club and hit submit.
This step will only show once your teams are completely registered for the season (including team fees paid). Your registered teams will show along with check boxes available for the tournament dates that corresponds to the age group of each team. Check the boxes for the teams and tournaments you wish to enter. You may select as many or few tournaments as you’re ready to enter at this time. Hit submit when done.
An invoice number and total will show on the confirmation screen. The Region will automatically be notified of the entries so you do not need to do anything else.
The Region will send an invoice using the invoice number and entry confirmation to the Club Director’s Zelle or SE account for payment (invoicing option indicated during club registration process).
Once Club Director submits payment, we will mark the invoice paid and a confirmation email from the Tournament System will go out to all team reps and club director same as in previous seasons.
Few other items with this process:
Tournament Entry deadlines will still be in place. Since a manual invoice must be sent and paid, clubs must plan ahead and submit all entries by Friday, 9 am. This will allow the region to still be able to send an invoice and club director may pay over the weekend. If an invoice is not paid by Monday, 11 am, those entries will not be assigned to the next tournament and can only be accepted with a late entry fee and if room.
Club Directors will only be able to enter the age group of the team in their assigned tournaments. If a team wants to play in a higher age group on another date, that is allowed (if room), but the Region will need to manually process the entry. Send an email to the Region office before that tournament’s entry deadline with the team name, tournament date entering, and age group wanting to play up, and we will process on back end and send invoice to club director per above.
12 and under boys teams that want to play in an applicable girl’s tournament will also need to email the Region office per above to have us manually enter on the back-end. Boys teams are only shown the Boys tournament dates in this Tournament Entry process.
The deadline to withdraw for a full refund/credit is still TWO weeks before the tournament date.
Non-Carolina Region teams may be eligible to participate in our one-day tournaments, but would only be admitted if there is space available at the entry deadline. Out-of-Region teams should contact the Region Office directly for a Tournament Entry form.
The Late Tournament Entry Fee will be $25. The late fee will be added whenever an entry is received after the deadline. We cannot guarantee ANY Late entries will be able to be accommodated in the new tournament assignment process, so teams should enter by the deadline if at all possible! If we are able to accommodate a late entry in a tournament, we will include the late fees automatically on the Invoice sent to the Club Director. All late fees will be designated to the Carolina Region Boys’ Development Grants.
We no longer accept paper tournament entries for Carolina Region teams. The new ONLINE process is the required method for all Entries. Clubs may still send in a check to pay the invoices but the check must be received by the entry deadline so be sure to enter early if you want to pay with a check.
Tournament Directors/Divisions:
Tournament Directors can download a Tournament Sanction Request Form and Hosting Information letter from our Tournament Directors section to request to host a tournament listed as “Available”.
Divisions will be split into East and West Geographic areas (a North/South line through the Greensboro area will be the dividing line roughly). Teams will be assigned out to sites based on their ranking in the Tournament System in their age group (and Geographic Area). We will assign teams out to sites in 4-team pool increments to fill the facilities requesting to host that weekend. The Carolina Region has TWO types of Regional Championship Events: (1) The Carolina Regional Championships; and (2) the East/West Championships. Participation rules below for teams and individuals apply to BOTH types of Regional Championship Events.
All teams must participate in at least THREE Carolina Region sanctioned tournaments before their Regional Championship Event to be eligible to compete.
At least one of those events must have been a one-day tournament.
The other two events may consist of any two of the following if held BEFORE the Regional Championships:
(a) One or Two Carolina Region one-day tournaments;
(b) Any two-day Carolina Region sanctioned event whose only criteria is date of entry (examples: Quest tournament, the Carolina Kickoff, City of Oaks);
(c) Only ONE of the following tournaments: a National Qualifier or any other Carolina Region sanctioned event with a restricted access entry criteria (example: MAPL Raleigh, Sanctioned Power League tournaments).
Players must play in TWO Carolina Region sanctioned events in order to be eligible to play in a Regional Championship Event.
Rosters for teams FREEZE ONE week before that team’s Regional Championship Event. No player additions or club movements are allowed for Regional Championship Events once the rosters FREEZE (temporary club moves for regular season tournaments after the frozen roster deadline are still allowed).
To be eligible to compete in their age division’s National Bid tournament, a junior team must meet the following: (a) Participating teams must be a registered Carolina Region team; and (b) teams must have played in ONE (1) Carolina Region sanctioned event.
Teams may move players from within their club to participate in one National Bid tournament. If the team wins a bid, that roster is FROZEN per USAV rules.
Players do not have to play in a minimum number of tournaments to be eligible to play in the bid tournaments.
Regional Championships – Additional Information (entry fee – $250):
The process of identifying the teams that will compete for the Regional Championships have not changed from last season.
All teams that are interested in competing for the Regional Championships should submit their Tournament Entry per process outlined above to the Region by the applicable entry deadline for their age group’s Regional Championship events.
After the entry deadline passes, the top four teams in each age group in the Standings in each geographic area (East and West) that qualify to enter a Regional Championship event and have submitted an entry to participate in a Regional Championship Event will be entered automatically into the Junior Regional Championships for that age group.
Those teams will play an 8-team tournament to decide the overall Regional Champion at each age group.
All other teams that have submitted an entry for their Regional Championship Weekend will be entered in their applicable East or West Championships and assigned to sites based on their place in the Standings (in 4-team pool increments).
Special Two Day Tournaments:
The Quest, MAPL, City of Oaks, Carolina Kickoff, Queen City, and any other two-day tournaments announced in our 2025 Schedule or at the bottom of the schedule in the Other Events Section are the only tournaments on our schedule that entries go directly to the Tournament.
Please do not send entries for the Quest/MAPL/City of Oaks/Carolina Kickoff or other multi-day events on our schedule to the Region Office (we will not forward them to the tournament and the delay may cause you to go on their waiting list).
